Anything starting the last week of April or later I am essentially 100%... later in May (or beyond) is easier but it doesn't matter as much. If its going to be earlier I need to know earlier to schedule licensing exams as early as possible in the available range.

Early discussion we were saying Santa Cruz/Monterey due to being a central-ish area with a good variety of things to do. Its still subject to change, but those two cities jumped to mind.

Should be noted airport wise another option if it happens to be magically far cheaper is Sacramento International (SMF). I will be driving from that area and its only about 10 miles out of the way for me. You would just have to deal with a five hour car ride.

I live in Los Angeles now, and I'm so /in for this shindig. I can offer crash space in Downtown LA and a ride up to the meet (~6 hours), if any of our international folks get better rates flying into LAX.
I think between Bay Area, LA and Sacramento there is basically no excuse for anyone saying they cant find a ride. We have plane, train and bus covered.

The situation we are looking at for order of events is:
1) Figure out what the maximum number of people who will stay in any given night is
2) Find out how many ways we will split a bill in terms of cost per night
3) Find a place that fits cost and budget
This is a realistic headcount, if you don't think you are making it, please don't say you are going to. If we end up booking a 16 person place and only needed a 12 person place, it will end up costing everyone who came more money because people dropped out. If you are confident enough in coming that you are willing to be factored into the budget, fill it out.

We probably will a little before we make our final move. This is just us trying to ballpark our number a bit better so we can come back and say something like "$50 a night - you said 5 nights. Please confirm this still works" and at that point we can tack on some sort of 20% down payment/cancellation fee/etc

That's the fear. I think we have at least a reliable 8, but we want to be sure as it looks like more than 10 is enough of a price jump to be a painful hit with a lot of last minute flakes

Transportation wise I will be driving from Sacramento no matter which place we host, and can fit up to five total (four is more comfortable, just have a hatchback) for the trip. I could swing near East Bay for people who would be in the area or can take BART out to the more outlying areas, but don't want to really do a SF/Oakland stop unless necessary since that would add a few hours to what would already be in the best case a seven hour drive for me.
If I pick up people/drop them off know I would be there the whole time, so if you are limited on when you will be out plan accordingly.

Currently in discussions with airbnb people. They said they might be remodeling one of only two bathrooms at that time. Will know more by Friday but if only one available would be a deal killer for people let me know.

It will vary based on how many people are staying each night, but somewhere between 210 - 260 depending on how many people on average are staying the night. For people staying on a nightly basis that end up about 45-55 a night. The more people who stay the less it will cost.
Again for people talking about flying, I am in conversations with the owner who says they are trying do fix a leak in the bathroom and they are trying to see if the contractor will be done by the time we would check in. I will know this by Friday and we can from there discuss alternatives if we would be down a bathroom.
For those who would be driving themselves or locals, its near the Alameda Fair Grounds.
I have put everyone who has said they will be there as staying for all nights indicated. Current nightly occupancy:
July 14th: 7
July 15th: 8
July 16th: 9
July 17th: 8
July 18th: 6
At the current price that breaks down to $57 per night ($284 for trip) with probably a little wiggle room. If you want to join please put your username in and fill in all of the cells so the costs auto-update correctly. Iecerint has indicated that he would be willing to commute if necessary, but I have him listed as a nightly occupant for now.
Please check to make sure all information is correct. Only add your name if you are willing to make a deposit, first come first serve. If you want to make an "overflow" list if the peak days fill up, that works and we can figure something out.
I think the cost target should be another 10 total nights stayed, which would drop nightly cost to about $45 ($225 for full trip). Lets see what we can do though. I will still be talking to owner about different things, and should have a status report this weekend.

The host cannot guarantee that both bathrooms will be available, but thinks it will be the case. Sounds like absolute worse case we have a few people in the area who might be able to help out a bit (totally not volunteering anyone). Sounds like its all wrapped up on my end though.

Reservation is confirmed. It sounds like there will only be three or four parking spots available so please carpool as much as possible. I will always be willing to drive to pick someone up from a BART station or bus stop to help.

I will bring my whole collection of board and card games, lots of them tend to be more uncommon ones that were done limited run/kickstarter (Antidote, Eggs and Empires, Pull... etc)
I can also bring:
xbox one (Jack Box)
WiiU with GC adaptor and four controllers (SSB WiiU)
For how full we are, the night of the 16th is now completely full. We do have space available for all other nights still.

If anyone has plans confirmed enough to know about what time and on what days they would need to be picked up/dropped off at BART stations or something similar please let me know so I can start trying to plan things out transportation wise so we always have someone available to pick people up. If you are staying and plan to drive, also let me know so I can keep a car count. It sounds like we need to stay at four or less if at all possible.

Okay I have a few ground rules from the owner:
1) No more than 10 there at nights. A few extra can be there in the day but stay within reason.
2) No parties. So if people are going to drink, do so in moderation and don't annoy the neighbors.
3) No smoking. This is the rule they are most concerned over. If you are a smoker you have to leave the house and not stand outside by the door to do such.
So what all should people bring? (Blankets? Pillows? I don't really know what to expect here).

For those of us paying for the AirBNB, where should we send payment?

Am I going to need cash on hand, or will a credit / debit card suffice? (For example: do I need cash for the BART, or other services?)

1) If you want to bring extra blankets/pillows I would go ahead. There will be some available, but feel free to take some along. If people are flying and it doesn't fit well packing wise, you don't need to. I can bring extras as well.
2) I will set up some venmo type thing soon. If people would rather pay cash for any reason, that would be fine.

I be able to hopefully provide transportation to and from local areas as needed. I just need to know an "I expect to need rides at X times" from people so nothing interferes with the ride availability. As long as there is 24 hour notice, anything within a 15 minute or so range from the airbnb is something I am willing to do.

Okay, so here are my basic thoughts on this. This is not your place. This is not my place. This is however my name and my credit card reserving this place so I do not want any surprises or headaches or anything drama like that.
1) If people are bringing an SO for the day, I have no problem with it. However no one has given me a "+1" for overnight staying, so no one should have a SO staying. Remember we have a hard overnight capacity.
2) I would like at least have a list of people who are showing up so I know about how many to expect. No one should be saying "I am just going to stay overnight" as again, capacity issues.
3) As has been stated by others, this is not a "hook up" type thing. If you are meeting someone from the first time off of grinder, tinder or FamersOnly... this is not the place for it.
Basically....
If Iec wants to have someone who they have been going out with for a short period of time swing by during the day and play some board games and then leave at night, that is okay. If you are having someone you know that little stay over or for lack of a better term "do more than play games"... then I have a major problem with it because it can start infringing into enjoyment of people who are not there for that type of situation. This place sleeps 10, but its not a ten bedroom place.

I have arrived home as well.
Equinox deserves a ton of credit for this meet as well. Without their help pushing everything forward at multiple points in the planning process, this never would have actually happened and likely died in the early planning phase.
The people that I met for the first time, and those who I haven't seen in multiple years, this was fun. We need to do it more often than once every five years. More from me later as I mentally unwind, but this was a great experience. Lots of new names, new games and new memories.
